Integrations: Sending emails / Integration to your calendar
First of all, Beenote integrates into your corporate calendar, whether it is Gmail, Outlook or other, as long as it manages ICS files (calendar). When planning a meeting, the last step is to send invitation emails to participants on the agenda. Don’t forget to check the invitation box, this is the method required to update guest calendars!
The invitation email contains all the information relevant to the meeting: date, room, address, guests, agenda… It also contains a URL link to directly access the meeting in Beenote.
E-mails in themselves are already reminders. But it is easy to lose them through the number of emails you receive every day. Beenote, therefore, inserts in each email an ICS file containing the information required to integrate into your calendar. For several email managers, such as Gmail for example, integration is automatic. For others, you just have to click on the “Add to Agenda” button.
Once integrated into your calendar, you can confirm your presence, via the participation buttons (yes/no/maybe). The meeting organizer will be automatically informed of your decision, via the management of the participants’ status. Some email managers even allow you to indicate your decision from the email.
