This Privacy Policy, therefore, applies to personal information that we collect through its web and mobile applications, in the context of our relationship with our customers and Beenote’s web and mobile application as the “Applications”. We will refer to the entire Site, Applications and other services as “Services”.

By continuing to browse the app.beenote.io application and using our Services, you confirm that you have read and understood this Privacy Policy, including how and why we use your information.

 

Use of Personal Data

The use of “cookies” is intended to improve the performance of this site, the quality of our services, adapt our features and offer you advertisements tailored to your interests through tools such as Facebook or Google Ads. We also collect this information for internal statistical purposes to develop, adapt and improve our products/services.

We also use the data for billing and payment purposes, identification and authentication, marketing communication such as newsletters, promotional offers and behavioural monitoring. If you do not want us to collect or process your personal information as described in this policy, you should stop using the Services.

 

Collect Personal Data

We respect your privacy. Beenote will not disclose your name, email address, or other personal information to third parties without your consent, except as provided in these policies.

These following situations collect and use your personal information:

Newsletter: When subscribing to our newsletter mailing list, the Site collects your email address and your first name/last name or alias (which is then used to personalize the mailing). See the “Communication” section for more details.

Support/question/comment: When you send a question/ comment and/or request assistance by email, a contact form or instant chat, the site stores your email address, your name or pseudonym that you indicate and your address IP and your location.

Your comments may be used for marketing purposes on the beenote.io website, on the company’s social media or any other marketing material.

Registration, Account Settings, and Use of Services: To use Services that require registration, you must provide us with a valid email address, a name associated with your account, and other personal information (such as your gender and photo for your avatar) that you can choose, represents your identity on Beenote and that is displayed to all members of your organization. You can review or change this name in Account Settings. This information is necessary for us to provide you Services. Depending on Services you use, we may require additional information to provide such as billing and payment information (including a billing contact name, an address, a phone number, credit card information).

Credit card information is saved as a Token in our PayPal payment provider.

Social Networks: Some technologies help you communicate with the social networks to which you are connected during your use of the Services, such as buttons or social networking modules to share content in the social network with other users of those networks. When you go to a web page where one of these buttons or modules is located, your browser can send information to the social network which can then associate this visualization with your profile.

Social network cookies, which Beenote does not control, can then be placed in your browser by these networks. We invite you to consult the privacy policies of each of these social networks, to learn the purpose of using the navigation information they can collect through these buttons and modules.

As noted below, social networks can also work with Beenote or with you for data analysis or marketing purposes. You may be able to manage your privacy preferences for these social networks and their tools and widgets through your account with each social network.

Automated Information: Beenote automatically receives and records, from your browser or mobile device when you use the Services, information such as your IP address or your device’s unique identifier, cookies and page data you consult, to enable us to manage and provide the Services. This information is stored in log files and is collected automatically. We may combine this information collected from your browser or mobile device with other information that we or our partners collect about you from all devices. This information is used to prevent fraud and maintain the security of the Services, to analyze and understand how the Services work for members and visitors, and to provide advertising on various devices and a more personalized experience to members and visitors.

Information about your location: We may also collect information about your Services use including your IP address, your browser information (including referrals), your device information (IDFA iOS ID, IDFV ID used for a limited non-advertising purpose, Android AAID and, when you turn them on, location information provided by your device) for analytics, to distribute content, enhance, personalize and protect the Services for location, regional settings and regulations for the Services; for local content, search results and recommendations; for the geographic configuration of the Services; and for marketing (general geographic location).

With your consent, we can also determine your location using other information from your devices, such as accurate location information from your GPS or information about wireless networks or relay antennas near your location. If you have agreed to share the specific location details of your device, but do not wish to share them with us, you may withdraw your consent to share this information in the settings of the apps or your mobile device. Certain Services associated with the general location, for example the security and location of the regulations based on your IP address or the address you provided, are necessary for the operation of the application.

We will share your location details with third parties (such as our card payment service and, where applicable, advertising suppliers) solely for the purpose of providing you with the Services. You can also choose to activate apps to access the camera on your mobile device to upload photos to Beenote.

Analysis Information: We use data analysis technology to ensure the operation of the application and to improve the Services. We use mobile analytics software to help us understand the functionality of the apps on your phone. Such software may record information such as how often you use the Applications, what happens in the Applications, the cumulative use you make of them, the performance data, the errors that occurred, and the debug information, and from where the Applications were downloaded. We do not combine the information we store in the analytics with personally identifiable information that you submit to the mobile application.

Third-Party Information: Some members or visitors may choose to connect Beenote or create a Beenote account from an external third-party application, such as Google Calendar and Microsoft 365, or an application developed using the API of Beenote. Beenote can receive information from these connected third-party applications. Connecting your Beenote account to third-party applications or services is optional. If you choose to connect your account to a third-party application, Beenote may receive information from that application. We may also collect public information to get in touch with you. We may use this information when we provide you with the Services. You may also choose to share some of your activities on Beenote on certain social networks connected to your Beenote account, and you may withdraw your authorization at any time through your account settings.

Guest Information: Beenote may receive or obtain information (for example, an email address or IP address) about a person who is not yet a member of Beenote (a “non-member”) in connection with certain features of Beenote, as when a non-member takes part in a meeting or a member sends a non-member a referral code. The information of non-members is used only for the purposes described when they were invited to Beenote or to allow actions authorized by the non-member.

 

Communication

Beenote gives you the choice to give, modify or delete certain information in the Account Settings. You can also request the deletion of personal information from your Account Settings.

The application sends emails that cannot be unsubscribed because they are used for the proper functioning of the application such as inviting you to modify the agenda or adding a meeting to your calendar.

When you complete a form or create an account with the Application, you will automatically receive newsletters from Beenote to keep you informed of updates, product news, promotions or other relevant information related to Beenote only. However, you will be able to unsubscribe from these communications via an unsubscribe link at the bottom of each email message.

We partner with third parties to manage our advertising on other sites. Our third-party partners may use cookies or similar technologies to provide you with advertising based on your browsing activities and interests.

If you no longer wish to use the Services or receive messages related to its Services (except for notifications required by law), you can close your Beenote account in the Account Settings section.

 

Uses, sharing, and disclosure of information

When you access or use the Services, we collect, use, share and treat your personal information as described in these policies. We rely on a number of legal bases to use your information in this way.

These legal bases include cases where:

  • these uses are necessary to fulfill the contractual obligations indicated in our Terms of Use and to provide you with the Services;
  • you have consented to the treatment, and can cancel that consent at any time;
  • these uses are necessary to fulfill a legal obligation, the order of a court, or to exercise or defend legal claims;
  • these uses are necessary to protect the legitimate interests of a third party or ours, for example, those of visitors, members or partners;
  • you have expressly made this information public;
  • the use of this information is in the public interest; and
  • the use of this information is sometimes necessary to protect your interests, vital or those of others.

 

Security of personal data

We value the security of your personal information. We apply the standards in force in the industry to protect the personal information that is communicated to us, both during transmission and after receipt. Your account information is protected by a password. It is important for you to protect yourself from unauthorized access to your account and information by carefully choosing your password and ensuring the security of your password and computer, for example by logging out after using the Services.

 

Storage duration of personal data

Beenote will only retain your information for as long as is necessary for the purposes set forth in these policies, as long as your account is active (i.e. during the lifetime of your Beenote member account), as described in this regulation or what is necessary to provide you with the Services. If you want Beenote to stop using your information to provide you Services, you can close your account. Beenote will retain and use your information to the extent necessary to comply with our legal obligations (for example, if we must keep your information complying with tax/income laws), resolve disputes, enforce our commitments, and what is described elsewhere in this regulation.

Note that closing your account does not automatically release your email address, username, or organization name (if applicable) so you can reuse it on a new account. We also keep log files for internal analysis. These log files are usually kept for a short period of time, except when they are used for Application security, to improve Application functionality, or if we are legally required to keep them for longer.

Beenote will retain the marketing data of its services for a maximum of 12 months for anonymous contacts after the last activity on the website by the person. On the other hand, for the contacts identified, the data collected on the Application are kept for a maximum duration of 36 months. At the end of these periods, all data relating to the person are automatically deleted.

 

Withdrawal of consent

If you have given your consent to the collection of your information and your use of the Services, you have the right to withdraw it at any time. For example, you may opt out of email marketing by using the email link to unsubscribe from these communications. You may choose to withdraw your consent to the collection of your information and your use of the Services by closing your account through the Account Settings, or by sending an email to [email protected] to request that your personal information will be deleted, with the exception of the information we are required to keep. This removal is permanent and your account cannot be restored.

 

Changes to our Privacy Policy

This Privacy Policy could be updated periodically without prior notice according to changes occurring in our practices regarding personal data protection. We will handle your personal information according to the privacy policy in effect at the time of collecting this information.

This site uses Google Analytics, a website statistical analysis service provided by Google Inc. Google Analytics uses cookies to help Beenote analyze the use of this site by its users, members et its community. For some advertising features, such as retargeting, data from Google Analytics can be combined with internal data from Beenote and third-party cookies (such as Google’s advertising cookies).

The data generated by the cookies regarding your use (including your IP address) will be automatically transmitted and stored by Google on servers located in the United States and will be used notably to measure the number of visitors on the site and to identify system performances and server problems.

By using this site, you expressly agree to the processing of your personal data by Google in the conditions and for the ends mentioned above.
